Office and Facilities Coordinator Location New Brighton, MN :

We are currently seeking a Office and Facilities Coordinator with outstanding communication skills, strong attention to detail, and creative problem-solving abilities. The ideal candidate will have experience working in a corporate setting and will be comfortable serving as the initial point of contact for routine and unexpected office and building service needs.

Essential Duties & Responsibilities:

To include, but not limited to the following:

  • Greet and provide general support to employees and visitors
  • Answer and direct incoming phone calls
  • Post and communicate office policies and initiatives as requested by Employee Services, Risk & Safety, etc.
  • Oversee day-to-day office building operations
  • Send out, receive, and sort mail
  • Send out, receive, and notify recipients of deliveries
  • Review and process vendor invoices
  • Issue security clearances/key-fobs
  • Assign/manage door locking schedules
  • Monitor building security and escalate appropriately
  • Receive, prioritize, and respond to facilities service requests with necessary vendor
  • Answer employee and visitor questions on a variety of subjects
    • Building policies
    • Security policies
    • General company information
  • Manage and update front lobby monitor content w/ Creative partnership
  • Order office supplies and maintain proper stock of necessary items
  • Coordinate quoting/purchasing office furniture
  • Create and maintain office preventative maintenance schedule
  • Assist Facilities Leader with vendor management
  • Notarize documents as needed
  • Assist in coordinating catering and car service vendors

Qualifications:

  • High school diploma; college degree preferred
  • 2-3 years of experience in office administration, reception or administrative assistant experience
  • Proficient in Microsoft Office Suite proficiency
  • Exceptional customer service skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Attention to detail
  • Able to handle confidential information as required
  • Excellent time management skills and ability to prioritize workflow
  • Ability to lift and move office supplies and equipment weighing up to fifty pounds
  • Ability to assist in office moves and furniture placement

Benefits and Compensation:

This role will be fully in-office based out of our New Brighton office. This is an exempt role with an hourly pay range between $16.58/hr - $24.75/hr depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
